8:00 AM to 5:00 PM -- Monday thru Friday

Under limited supervision, completes administrative duties including filing, typing, photocopying, scanning, sending and tracking correspondence, and providing backup support to the agency receptionist and Office Assistance team members.  Provides administrative support to department programs as assigned, including data entry, ensuring the accuracy and file worthiness of program documents and correspondence.  Interacts with Office Assistance Team members, Records Team members, and program personnel on a daily basis.

  • Send outgoing mail, including Certified letters; tracks correspondence in agency databases.
  • Route incoming mail to program staff.
  • Data entry and tracking in an A400 system and OnBase ECM.
  • Ensure accuracy of and prepare program documents for filing with the agency Records Team.
  • Provide support to agency receptionist as part of a rotating cycle with other Office and Administrative Specialists.

Coursework and/or training in administrative and office support functions, procedures, and methods, including the operation of personal computers and office equipment, and areas related to the programs and functions of the employing agency OR experience performing administrative, office, and/or secretarial support work including use of personal computers and office equipment. 

OTHER:  Valid driver’s license or the ability to provide independent transportation; Ability to sit at a computer for and extended amount of time, ability to lift 40 pounds, ability to maintain regular and reliable attendance.

PREFER:  Post high school coursework and/or experience in administrative, office, and/or secretarial support functions.

Knowledge of: Strong reasoning, analytical, communication and organizational skills; strong computer skills including working knowledge of desktop office software, databases, word processing software, and spreadsheets.

Ability to:  work in word processing and spreadsheet applications; learn the organizational structure, mission, and activities of the agency; learn agency policies and procedures pertinent to the work assigned; communicate effectively in person and in writing with coworkers and the public; provide quality customer service to the public and agency staff in a fast paced, team centered atmosphere; handle multiple tasks simultaneously, working independently with limited supervision.
